Education Program Administrative Assistant
POSITION SUMMARY
This position involves duties relating to general clerical support for the Department of Geriatric Medicine, John A. Burns School of Medicine, in areas of educational, clinical, research and operational needs.
Location: Kuakini Medical Center
Hours per week: 40; Mon-Fri 8:00am-4:30pm
ESSENTIAL JOB DUTIES AND FUNCTIONS
- Greets and assists visitors to the department.
- Answers multi-line phone calls in a professional manner, triages calls, takes/delivers accurate messages.
- Provides general support to department with faxing, copying and filing; set-up and close rooms; receives/signs for deliveries & other services; daily mail pick-up and delivery.
- Assists with fiscal duties related to educational, clinical, research, and/or operational programs.
- Maintains repository of promotional materials related to department educational, research, and community-based program activities.
- Assists with updating department contact lists.
- Assists with preparation of educational course materials such as orientation folders, sign-in sheets and course handouts.
- Provides on-site course assistance that may include AV set-up, registration table, breakdown and lock up of materials and equipment.
- Maintains office reception area and meeting rooms.
- Performs all other duties as assigned.
MINIMUM QUALIFICATION REQUIREMENTS
- High school diploma or equivalent
- Two years clerical/administrative experience in an office environment
- Strong communication skills including written/verbal communication, interpersonal, process and project management skills.
- Strong organizational skills.
- Computer skills including Microsoft Word and Excel, Google calendars, email, and aptitude to learn in-house systems.
- Ability to format text for continuity.
- Excellent customer service skills.
