Administrative Assistant

We are seeking a highly organized and proactive administrative assistant to join our
team. The ideal candidate will provide administrative support to ensure efficient
operation of the office. The Administrative assistant will provide support managers and
employees through a variety of tasks related to organization and communication. The
candidate must be able to work independently with little supervision and handle a
variety of administrative tasks to support the organization. (upon completion of satisfactory probationary period, full time paid position may be available)
 

Responsibilities:
1. Answer and direct phone calls in a professional manner.
2. Organize and schedule appointments and meetings.
3. Maintain contact lists and distribute correspondence.
4. Prepare and modify documents including correspondence, reports, drafts,
memos, and emails.
5. Assist in the preparation of regularly scheduled reports.
6. Order office supplies and maintain inventories of kitchen and office supplies.
7. Coordinate travel arrangements and prepare itineraries.
8. Arrange and coordinate meetings and events.
9. Record, transcribe, and distribute meeting minutes.
10. Handle sensitive information in a confidential manner.
11. Perform general clerical duties including photocopying, faxing, mailing, and
croom set up for zoom and remote conference meetings.
12. Maintain electronic and hard copy filing system.
13. Assist in the preparation of presentations.
14. Provide information by answering questions and requests.
15. Maintain a professional work environment and appearance.
 

Requirements:
1. Proven experience as an administrative assistant or relevant administrative role.
2. Proficient in Microsoft Office Suite and Google Docs: (word, excel, outlook,
powerpoint).
3. Excellent time management skills and ability to prioritize tasks.
4. Strong organizational skills with the ability to multitask.
5. Attention to detail and problem-solving skills.
6. Excellent written and verbal communication skills.
7. Ability to work independently as part of a team.
8. 2 plus years of college or equivalent; additional qualification as an administrative
assistant or secretary and  knowledge of office management systems and procedures.
 

Preferred Qualifications:
1. Experience in handling confidential information with discretion.
2. Familiarity with basic accounting principles.
3. Previous experience working in a fast-paced environment.
4. Ability to adapt to changing priorities and manage multiple tasks simultaneously.
