Contract Specialist

MANAGE SALES CONTRACTS

  • Liaise between outside entities, sales team and management to obtain contract information.
  • Negotiate, seek Legal advice and edit contracts as necessary.
  • Draft, issue, and process all client license agreements and incentive packages by tracking and preparing letter of commitments, use exceptions, space revisions, space addendums, and any other documents and make any necessary changes.
  • Secure all necessary approvals until contract finalization and ensure accuracy of contract information.
  • Regularly review and update contract administration processes and set strategy to ensure contract administration process runs smoothly and effectively.
  • Work with clients to obtain and review certificate of insurance and follow up with any questions or request for more information to ensure all information is sufficiently documented.
  • Manage and track deposit collection from clients requesting deposits from clients and tracking receipt to ensure all payments are made and collected.
  • Facilitate and manage use of license agreement incentives by client. Liaise between client, sales, events, food & beverage and finance to ensure all parties are aware of how incentives will be used.
GENERATE REPORTS

  • Gather system data to create, develop and interpret complex reports to track progress and provide information on various sales goals, targets, conflicts and/or events bookings. Collaborate with and make recommendations to team members and/or other departments as required.
  • Maintain necessary compliance and/or record retention as required.
  • Disseminate report and/or report information for necessary parties.
OTHER DUTIES:

  • Handle requests and questions relating to the contract or license agreements pertaining to sales, letters of confirmation, certificates of insurance and all other related documentation that confirms a group booking.
  • Book rooms/space needed in database for events, as needed or requested by team members.
Required Qualifications (Job Knowledge, Skills, and Education):

  • A minimum education level of: BA/BS Degree (4-year) in English, Professional Writing, Communications, or a related field or A minimum of 5 years of related work experience.
  • Proven experience in writing legal contracts with accuracy
  • Ability to communicate effectively with various level of employees inside and outside of the company.
  • Excellent written and verbal communication skills as well as the ability to pay a high level of attention to detail.
  • Proficient in Microsoft Office programs (Word, Excel, PowerPoint) and ability to learn required business systems.
  • Strong organizational skills with the ability to work in a fast-paced environment.
  • Excellent interpersonal skills with the ability to build and cultivate relationships
  • Must have the ability to work harmoniously in a team setting exhibiting the “Aloha Spirit” to fellow workers, guests, clients and the community so as to provide exceptional customer service while demonstrating behaviors that reflect the Hawai‘i Convention Center’s vision, mission statement and values.
